Dental office IT setup and network design in 2026 should start at design, not move-in: cabling goes in at rough-in, before insulation and drywall (GCMM Dental Construction), and one MSP prices cabling at $3,500–$5,500 per operatory during construction versus $7,000–$11,000 as a retrofit (ChairsideIT). This hub links every network, security and cost guide.

What is FloorStack? FloorStack is the dental build-out platform where doctors, contractors, architects, equipment reps and IT teams plan, build and document a dental practice together in live 3D, and the doctor owns every device, password and record when the doors open.

Who this hub is for

  • Doctors: start with when to bring IT into the build-out and the IT setup cost guide, then hand the checklist to your IT provider.
  • IT providers and MSPs: use the network design, VLAN, firewall, onboarding and project pricing guides.
  • Low-voltage contractors: use the drops-per-operatory, low-voltage plan, rack location and camera guides.
  • Architects: mark the rack room, access points and drop locations from the network diagram guide on your plans.
  • Office managers: use the backup and HIPAA checklists to confirm what is in place before opening.

When each IT decision happens

  1. At lease signing: order internet, since FloorStack's startup guide says fiber can take 30–60 days to install (FloorStack).
  2. During schematic design: plan cabling alongside the equipment vendor, IT and architect (GCMM); choose server or cloud and place the rack.
  3. At rough-in: pull low-voltage cable after framing and before insulation and drywall (GCMM).
  4. Before equipment install: set up the firewall, switches, VLANs, Wi-Fi and imaging workstations.
  5. Before opening: finish the HIPAA risk analysis, which is required (45 CFR 164.308), test backups and confirm every admin account is in the practice's name.

What to hand your IT provider

Your IT provider can only plan what it can see. Before the design is final, send:

  • The floor plan with every operatory, the front desk, offices, the imaging rooms and the proposed rack location.
  • The equipment list showing which chairs, sensors, imaging units, printers and phones need a network connection.
  • Your software choices, including practice management, imaging and phones, and whether each runs on a local server or in the cloud.
  • The construction schedule, so cabling is pulled at rough-in and the network is ready before equipment install.
  • Your ownership terms: every admin account created in the practice's name, with a copy of each credential held by the practice.

The guides below cover each item in detail.

Free tools for this hub

Start with the Network & IT plan generator

The Network & IT plan generator (free tool, coming soon) is the anchor tool for this hub. It is planned to turn your floor plan into a drops, rack, Wi-Fi and VLAN plan. You do not have to wait for it: FloorStack Studio (live, free plan) already produces a 3D IT plan of your office with every device placed.

How FloorStack helps

IT planning is the part of FloorStack you can use today. FloorStack Studio is live today on a free plan. You upload a floor plan or a phone photo, and in about 10 minutes it returns an interactive view with every device placed, a device schedule with rooms, ports and cable lengths, and a rack layout; it is vendor-neutral, suggests up to 3 alternatives per device and never asks for patient data (FloorStack FAQ).

Frequently asked questions

What internet speed does a dental office need?

Check your software: Dentrix Ascend lists 50 Mbps down / 10 Mbps up for 10 logins (Dentrix Ascend), and Open Dental Cloud lists 20/10 (Open Dental). See dental office internet speed.

How many network drops does each operatory need?

One contractor's standard is at least 4 Cat6A drops, 6+ in high-tech rooms (GCMM); FloorStack's baseline is one drop per workstation plus one spare per operatory (FloorStack blog). See network drops per operatory.

When should IT get involved in a dental build-out?

During schematic design, alongside the equipment vendor and architect (GCMM). See when to bring IT into a build-out.

How much does IT setup cost for a new dental office?

One MSP's 2026 rate guide puts a 5-operatory office at $25,000–$45,000, not counting practice management software (ChairsideIT). See dental office IT setup cost.

Should my practice use a server or the cloud?

Start from your practice management and imaging software requirements. See dental server versus cloud.

What does HIPAA require for IT in a new dental office?

A risk analysis and a data backup plan are both required (45 CFR 164.308), and documentation must be kept 6 years (HHS). See the HIPAA IT checklist.

How early should I order internet service?

At lease signing. Fiber can take 30–60 days to install (FloorStack).
