Register every item in the practice owner's name, with the owner's email, within each manufacturer's deadline. Deadlines vary: in 2026, Midmark's warranty covers the original retail purchaser and requires registration information within 30 days of purchase (Midmark). A-dec measures coverage from its invoice date, not from installation (A-dec).

Why register in the owner's name?

Because warranties follow the purchaser. Midmark's limited warranty is made "to the original retail purchaser," and warranty service must be obtained through Midmark or an authorized dealer (Midmark). If a dealer, contractor or IT company registers equipment under its own name or email, the practice may not get notices, recalls or proof of coverage, and a later sale or appraisal of the practice gets harder. The same logic applies to every vendor portal: the account should belong to the practice. See who owns dental office passwords.

Use a shared practice email (for example, an equipment@ address the owner controls) rather than one employee's inbox, so registrations survive staff turnover. The free credential ownership checklist (coming soon) is planned to list manufacturer portals alongside IT accounts the practice should own.

When does coverage start?

It varies, and the difference can be months on a long build-out:

  • A-dec: measured from the date of A-dec's invoice, and A-dec suggests contacting its Customer Service if you have questions about when coverage began (A-dec). If equipment is ordered early and stored, part of the warranty can run out before first use.
  • Midmark: measured from the date of original retail purchase (Midmark).

Ask each vendor in writing when coverage starts, and keep the invoice in the handover package. See equipment lead times for why equipment is often ordered months before install.

What do I need to register?

Typically:

  • Owner or practice legal name, address and contact email.
  • Model and serial number. A-dec asks for the serial number, found on the product's serial tag, whenever you request service (A-dec regulatory and warranty guide (PDF)).
  • Purchase date, invoice number and selling dealer.
  • Install date and installer.

Capture serial numbers as crates are opened on install day; they're much harder to read once a chair is bolted down or a compressor is in a closet. Record them in the free equipment inventory CSV (coming soon) or the equipment inventory template.

How do I register with each manufacturer?

  • Midmark: use Midmark's online warranty registration form within 30 days (Midmark).
  • A-dec: we didn't find a public owner-registration form; warranty runs from the invoice date and service goes through A-dec or its dealers (A-dec). Keep the invoice and serial numbers.
  • Other makers (imaging, sterilizers, handpieces): check each product's warranty card or website. A-dec notes that products it sells but doesn't make, such as sterilizers, cameras and curing lights, carry their original manufacturer's warranty (A-dec).

What can void a warranty?

Read the exclusions. Midmark's limited warranty, for example, excludes accessories it doesn't manufacture and lists specific exclusions, and it requires the purchaser to follow service instructions and arrange delivery for warranty service at their own expense (Midmark). Common risks across vendors include missing maintenance, unauthorized repairs and installation that doesn't meet the pre-installation guide. See the pre-installation checklist.

Hour-based terms matter for mechanical equipment. Midmark's PowerAir compressors are covered 5 years or 3,500 hours, whichever comes first (Midmark). An undersized compressor runs more hours and can exhaust its warranty sooner, which is another reason to size it correctly.

Does a warranty transfer with used or relocated equipment?

Usually not automatically. Midmark's warranty is made to the original retail purchaser of a product bought through an authorized Midmark distributor (Midmark). A-dec's applies to products purchased from A-dec or an authorized A-dec dealer (A-dec). Equipment bought used, or from a seller that isn't an authorized dealer, may carry no manufacturer warranty at all. If you're buying a practice or moving equipment from an old office, ask the manufacturer what coverage remains before you count on it.

Warranty terms also differ inside one brand. Midmark's own list runs from 90 days for replacement parts and 1 year for software to 10 years for Synthesis and Artizan cabinetry, with a 10-year cabinetry service period (Midmark). Record the term for each line item rather than one term per vendor.

How do I track warranties after registration?

Keep one list with model, serial, purchase date, coverage start, term, expiry and registration confirmation for every item. Set reminders 60 days before each expiry to decide on service contracts, and file every claim, repair ticket and part replacement against the item's row so the history stays with the equipment, not with a technician. The free equipment inventory & appraisal report (coming soon) is planned to track warranty dates and produce an appraisal-ready report; warranty status also matters when a practice is valued or sold. See handing over equipment docs and the equipment list.
